Bookkeeping Visual Explainer
A client file goes in. Nine setup sheets come out.
Here's what the bookkeeping agent does in between.
Step 1 of 8
Read the client file
The agent reads the documents and compares the details.
It records who the client is, their tax details and what work is covered.
Every fact needs a supporting record.
Step 2 of 8
Confirm the accounting rules
The agent checks which rules to follow when recording income, equipment and other items.
It records the rules, when they apply and who approved them.
Missing or conflicting rules become questions.
Step 3 of 8
Put account and contact lists in order
The agent lists the accounts, such as bank, money owed to the business and money it owes.
It adds customer and supplier details, with the supported account and tax rules for each.
Unclear details need clarification.
Step 4 of 8
List where the information comes from
The agent lists the bank, invoice, payroll and other records needed.
It records who supplies them, how often and in what format.
This is a delivery plan. Any access already tested needs supporting evidence.
Step 5 of 8
Check the starting amounts
The agent checks what the business has and owes on day one.
It checks both sides of the accounts match, then agrees each amount to the supporting records.
The agent keeps differences visible and never fills a gap with a made-up amount.
Step 6 of 8
Ask, then update
The agent groups the questions it can already ask, while continuing other work.
Answers update the setup sheets. Missing answers stay on a list of open questions.
Questions can arise at any step. If an answer is needed to finish, that part stays pending.
Step 7 of 8
Get a separate pair of eyes
Another agent checks the setup sheets against the evidence.
The first agent checks the review comments and fixes errors or missing details that the records confirm.
Open questions remain on the list.
Step 8 of 8
Hand over nine setup sheets
The agent hands over what it prepared, the supporting records and a list of anything still unresolved.
